How do I set up the transcription import to go directly into SamNotes? (KB)

Simply convey these simple instructions below to your transcription person/company.  Include the chart number in your dictation and SammyEHR will do the rest.

  • They MUST start typing the note with the FIRST TEN characters being the date of service in the format MM/DD/YYYY. After that there are no requirements for the text of the note except that there cannot be any graphics – only text.
  • When you finish typing the document and it’s time to save it as a Microsoft RTF file, tell them to NAME the file as follows:  SNCnn...nnZZFL.rtf  (The first 3 characters must be SNC in upper case.  nn..nn would be the chart number of the patient in Sammy.  Immediately after the chart number, type ZZ in upper case.  Then, the initial of the first name followed by the initial of the last name of the patient).

A sample would look like this for a patient named John Smith, chart number 143:  SNC143ZZJS.RTF

The .doc is the traditional way of naming Word documents. If you use another word format, save it as a .rtf

Do NOT use periods in the name except for the .doc. There can only be 1 period.

We suggest you use or create a folder in \SamNotes called SammyImports. Place the doc files in there – for ONE doctor at a time. Then click on the “Batch Dictation Import” Menu option under the Utilities &Preferences menu on the SamNotesEHR screen.

A dialog box will appear. Click Browse then navigate to where your documents are stored. Then “Click Import Documents.”  We’ll print a report of what was done.
